Please read these Terms of Service carefully before making a booking or using our services. By submitting a booking enquiry or making payment, you confirm that you have read, understood, and agreed to these Terms on behalf of yourself and all members of your travel party.

1. Introduction


Imagine Chobe Tours & Mobile Safaris ("Imagine Chobe", "we", "us", or "our") is a registered travel and safari company based in Kazungula, Botswana, specialising in tailor-made safari experiences across Botswana's most iconic wilderness destinations.

2. Scope of Services


Imagine Chobe provides the following travel and safari services, subject to availability and confirmation:

  • Mobile camping safaris and luxury lodge booking
  • Guided game drives in Chobe National Park and other wildlife reserves
  • Boat cruises along the Chobe River
  • Bird watching and photographic safaris
  • Cultural tours and community experiences
  • Victoria Falls guided tours and day trips
  • Accommodation, vehicle, and transfer arrangements
  • Customised and tailor-made travel packages

3. Booking Process


All bookings with Imagine Chobe follow the process described below. A booking is confirmed only upon receipt of a deposit as set out in clause 3.3.

3.1 Enquiry Submission
A client selects a safari package on our website (www.imaginechobetours.co.bw), completes the booking enquiry form with their travel details, and submits the form. This submission constitutes an enquiry only and does not represent a confirmed booking or reservation.

3.2 Quotation
Upon receiving an enquiry, the Imagine Chobe team will contact the client via email or telephone to discuss their requirements. A formal written quotation will then be issued to the client. Quotations are valid for [INSERT VALIDITY PERIOD] from the date of issue, unless otherwise stated.

3.3 Deposit & Booking Confirmation
To confirm a booking, the client must pay a non-refundable deposit of 50% (fifty percent) of the total quoted amount. The booking is confirmed only upon receipt of this deposit. Imagine Chobe reserves the right to release any tentatively held arrangements until the deposit is received.

3.4 Service Delivery
Once the deposit is received and the booking is confirmed, Imagine Chobe will make all necessary arrangements. The agreed safari or tour will be carried out in accordance with the confirmed itinerary.

3.5 Final Payment & Invoice
The remaining balance of 50% (fifty percent) of the total quoted amount is due upon completion of the safari or tour, unless alternative terms have been agreed in writing prior to travel. A full tax invoice will be issued to the client upon receipt of the final payment.

Imagine Chobe reserves the right to require full advance payment for certain packages, peak-season travel, or third-party lodge bookings. Any such requirement will be communicated in the quotation.

4. Pricing & Payments


All quoted prices are in Botswana Pula (BWP) unless otherwise stated. Prices include only the items explicitly listed in the quotation. Items not listed (including visa fees, travel insurance, gratuities, personal purchases, and optional activities) are the sole responsibility of the client.

Accepted payment methods: [INSERT ACCEPTED PAYMENT METHODS]. Any bank charges or transaction fees incurred are the responsibility of the client. Imagine Chobe reserves the right to adjust pricing prior to booking confirmation in the event of significant changes in fuel costs, park fees, accommodation rates, or currency fluctuations.

5. Cancellation & Refund Policy


5.1 Cancellation by the Client
All cancellation requests must be submitted in writing to reservations@imaginechobetours.co.bw. The cancellation date is the date on which written notice is received by Imagine Chobe. The following fees apply:

  • [INSERT] days or more before travel: Loss of the 50% non-refundable deposit
  • [INSERT] to [INSERT] days before travel: [INSERT]% of the total booking value
  • [INSERT] days or fewer before travel: 100% of the total booking value (no refund)

5.2 Cancellation by Imagine Chobe
In the event that Imagine Chobe must cancel a confirmed booking due to circumstances beyond our reasonable control (including force majeure events, natural disasters, or political unrest), we will offer the client either a full refund of all amounts paid to us, or an alternative booking of equivalent value, at the client's discretion.

5.3 Amendments
Requests to amend a confirmed booking (including changes to dates, itinerary, or group size) must be made in writing and are subject to availability and any applicable third-party amendment fees. Imagine Chobe will make all reasonable efforts to accommodate amendments but cannot guarantee that changes can be made.

6. Client Responsibilities


By making a booking, the client confirms that they and all members of their travel party agree to:

  • Provide accurate and complete personal and travel information at the time of booking
  • Hold valid passports and all visas required for the countries to be visited
  • Obtain comprehensive travel insurance, including medical cover and emergency evacuation (strongly recommended)
  • Follow all safety instructions given by Imagine Chobe guides and staff at all times
  • Respect the natural environment, wildlife, and local communities encountered during the safari
  • Behave in a manner that does not endanger themselves, other guests, guides, or wildlife

Imagine Chobe reserves the right to remove any client from a safari or tour, without refund, if their conduct poses a risk to the safety or wellbeing of others or to wildlife.

7. Children & Minors


Imagine Chobe welcomes families with children. The following conditions apply to guests under the age of 18:

  • All persons under the age of 18 must be accompanied by a parent or legal guardian for the full duration of the booking.
  • The parent or legal guardian is solely responsible for the safety, supervision, and behaviour of any minor in their care throughout the safari or tour.
  • Certain activities or accommodation providers may impose their own minimum age restrictions. Where known, these will be disclosed in the quotation.
  • All bookings must be made by a person who is 18 years of age or older. A minor may not enter into a booking on behalf of themselves or any other person.
  • Our website and services are not directed at children under the age of 18. We do not knowingly collect personal information from minors without verified parental or guardian consent.

If you are travelling with children, please advise us at the time of enquiry so we can tailor your itinerary and advise on any age-specific considerations.

8. Data Protection & Privacy


8.1 Information We Collect
When you submit an enquiry or make a booking, we may collect the following personal information:

  • Full name and contact details (email address and telephone number)
  • Passport and identification details (where required for park or lodge registrations)
  • Travel dates and itinerary preferences
  • Payment information (processed securely)
  • Dietary requirements or health-related information (where voluntarily provided)

8.2 How We Use Your Information
Your personal information is used exclusively to:

  • Process and manage your booking and travel arrangements
  • Communicate with you regarding your enquiry, booking, or itinerary
  • Comply with legal and regulatory obligations, including park and lodge registration requirements
  • Improve our services and customer experience

8.3 Sharing of Information
Imagine Chobe does not sell, rent, or trade your personal information. We may share your information with trusted third parties solely where necessary to fulfil your booking, including:

  • National parks, reserve authorities, and border control (for permits and entry requirements)
  • Accommodation providers, lodges, and camps included in your itinerary
  • Transport and vehicle operators
  • Payment processors

All third parties are required to handle your information securely and in accordance with applicable data protection laws.

8.4 Data Retention
We retain your personal information for as long as is necessary to fulfil the purpose for which it was collected, and for any further period required by applicable law or legitimate business record-keeping obligations.

8.5 Your Rights
You have the right to request access to, correction of, or deletion of the personal information we hold about you. Please direct any such requests to reservations@imaginechobetours.co.bw.

9. Limitation of Liability


Imagine Chobe acts as a facilitator and coordinator of travel services, some of which are provided by third parties. While we take every reasonable care to ensure quality and safety, we cannot be held liable for:

  • Acts of nature, adverse weather events, or force majeure circumstances beyond our control
  • Loss, theft, or damage to personal belongings during any part of the safari or tour
  • Personal injury or illness sustained during travel, game drives, boat activities, or any other excursion
  • Acts or omissions of third-party service providers, including lodges, transport operators, and park authorities

Clients are strongly advised to obtain comprehensive travel insurance prior to departure. Imagine Chobe accepts no liability for any loss or claim that would ordinarily be covered by adequate travel insurance.

10. Health, Safety & Special Requirements


Clients are responsible for ensuring they are in good health and medically prepared for safari travel in Botswana. We recommend consulting a travel health specialist prior to departure. Please note that parts of Botswana, including the Chobe region, are malaria-risk areas; appropriate medical precautions are strongly advised.

Please inform Imagine Chobe of any medical conditions, dietary requirements, or mobility limitations at the time of booking. We will make every reasonable effort to accommodate such needs but cannot guarantee their fulfilment by third-party service providers.

11. Intellectual Property


All content on the Imagine Chobe website (including text, images, logos, itineraries, and branding) is the property of Imagine Chobe Tours & Mobile Safaris and is protected under applicable intellectual property laws. No content may be reproduced, distributed, or used for commercial purposes without prior written consent from Imagine Chobe.

12. Governing Law & Disputes


These Terms of Service are governed by and construed in accordance with the laws of the Republic of Botswana. Any dispute arising from or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of Botswana.

In the event of a dispute, both parties agree to first seek resolution through good-faith negotiation before initiating formal legal proceedings.

13. Amendments to These Terms


Imagine Chobe reserves the right to update or amend these Terms of Service at any time. Continued use of our services following such notification constitutes acceptance of the updated Terms.
